Teams running Zoho CRM · Solution

Your customers are on WhatsApp. Your pipeline is in Zoho.

Soluvide builds Zoho CRM and WhatsApp integrations for businesses in Dubai and across the UAE. Incoming WhatsApp messages create or update the right Zoho lead or contact, the conversation is logged on the record, an AI assistant qualifies the enquiry and books the slot, deals and stages are updated, the right owner is assigned, and Zoho workflows send follow-up templates, in Arabic and English, with a person taking over whenever it matters. It runs in your own Zoho and WhatsApp Business accounts. When Zoho's own WhatsApp integration is enough, we say so.

The problem

The conversation happens on WhatsApp. The CRM never hears about it.

What the day actually looks like — described as an operator would, not as a brochure.

You set up Zoho CRM so the sales team would work from one pipeline. Then customers did what customers in the UAE do: they messaged on WhatsApp. The enquiry, the questions, the price discussion and the yes all happen in a chat, and Zoho only learns about them if a rep stops and types them in.

Most of the time nobody does, or they do it later and partly. A new enquiry never becomes a lead, so it is never assigned and never followed up. An existing customer messages from a number saved as 050 in one field and +971 50 in another, and Zoho ends up with three records for one person.

The reps who do work hard on WhatsApp often do it from their own phones. The conversation lives on that handset, the CRM record stops at the first call, and when a rep leaves, the customer history leaves with them.

So the pipeline report is a guess. Managers cannot see which enquiries were answered, which deals moved, or which quotes were followed up, because the work happened in a channel the CRM cannot read. The problem is not Zoho or WhatsApp. It is the gap between them.

Why the obvious fixes fail

You've probably already tried these.

None of them are stupid. They fail because the work itself stays manual — they just move who does it.

Switching on the WhatsApp extension and stopping there

Zoho's own WhatsApp integration is good at what it is for: a rep messaging a customer from inside a record. It does not read an unstructured enquiry, work out the service, area and language, decide whether the sender is new or existing, or route it. Someone still has to read every message and do the CRM work by hand.

A generic chatbot that “syncs to Zoho”

Off-the-shelf bots usually create a new lead for every conversation and paste the transcript into one text field. Without phone normalisation and an upsert, duplicates pile up. Without marking their own writes, they trigger your workflow rules, which message the customer, which writes back, which triggers the rule again.

Asking reps to log every chat

A rule that every WhatsApp conversation must be copied into Zoho holds for about as long as the first busy week. Logging competes with selling, and selling wins. The records that do get written are partial and late, so the CRM is still not something a manager can trust.

What we build

Every message lands on the right record, and a person owns it.

The honey step is where a person stays in control. Everything else is the typing and checking the system does for you.

  1. WhatsApp message
  2. Match record
  3. AI qualifies
  4. Write to Zoho
  5. Templates from workflows
  6. Rep takes over

Engineering decision. We build the layer Zoho and WhatsApp do not provide, and nothing they already do. Zoho stays the system of record, Zoho's own WhatsApp panel can stay the rep's reply surface, and the integration only holds the logic: matching, qualifying, routing, retries and the audit trail. If the native integration covers what you need, we will tell you before you pay for a build.

  1. 1

    Capture and match

Messages arrive from the WhatsApp Cloud API on your own business number. The integration verifies and acknowledges each one, drops anything it has already processed by message ID, normalises the phone number to international format, and searches Zoho Leads and Contacts so it knows whether it is updating an existing customer or creating a new lead.

  2. 2

    AI qualification and booking

An AI assistant reads the message, or the transcript of a voice note, and returns structured fields: language, intent, service, area, urgency and name. It replies in the customer's language, asks the qualifying questions that matter to your team, and books a confirmed slot in Zoho Bookings or your calendar.

  3. 3

    Written into Zoho

The lead or contact is upserted through Zoho's REST API, with the extracted answers in mapped fields and the conversation attached as notes, so a rep sees what the customer actually wrote, not only a summary. When the customer confirms, a deal is created or its stage is moved.

  4. 4

    Routing to the owner

The record is assigned by the rules you already use, such as territory, service line, branch or language, and the owner gets a short alert that links straight to it. Writes made by the integration are marked, so your Zoho workflow rules can tell them apart and do not loop.

  5. 5

    Follow-ups from Zoho workflows

When a Zoho workflow rule fires, such as a quote sent, a stage changed or a lead gone quiet, the integration checks whether WhatsApp's customer-service window is open, uses a Meta-approved template in Arabic or English when it is not, respects the opt-out flag, and writes delivery and read status back to the record.

  6. 6

    Human handoff

When a question needs a price, a commitment or judgement, or the customer asks for a person, the assistant stops and hands over with the full context. The rep replies from Zoho's WhatsApp panel or a shared inbox, not a personal phone, so the conversation stays on the record.

Named systems, not “connects to anything.”

We confirm which of your systems connect during scoping. Everything runs in your own accounts. A typical build touches:

  • Zoho CRM
  • WhatsApp Cloud API
  • Zoho workflow rules
  • Zoho Bookings
  • Google Calendar
  • Calendly
  • n8n (self-hosted)
  • Email & WhatsApp alerts to reps

Engineering decisions

Clear lines, agreed up front.

What the fixed price covers, and the things we will not build. Both are written into the scope before we start.

In scope

  • Incoming WhatsApp messages create or update Zoho leads and contacts
  • The conversation logged on the Zoho record, not only a summary
  • An AI assistant that qualifies the enquiry and books the slot
  • Deals created and stages updated from what the customer confirms
  • Follow-up template messages sent from Zoho workflow rules
  • Routing to the right owner by area, service line or language
  • Arabic and English, with the preferred language saved on the contact
  • Human handoff with the full context, inside Zoho
  • Everything in your own Zoho and WhatsApp Business accounts

Not in scope

  • Rebuilding what Zoho's own WhatsApp integration already does well
  • Promotional broadcasts to people who have not opted in
  • Redesigning your whole Zoho setup or migrating you to another CRM
  • Quoting prices or committing to terms the AI cannot verify; it hands over instead

What you get

Live in weeks, quoted before we start.

We start with one inbound flow, a WhatsApp enquiry becoming a qualified Zoho lead, and run it beside your manual process until the records match. Outbound templates and follow-ups come once the inbound side is trusted. The timeline and a fixed price are in writing before any build starts. No hourly billing.

  1. 1Week 1

We map the work, then quote it

A short call, then we document how WhatsApp enquiries reach Zoho today, which fields matter and who should own each one — including the exceptions and the workarounds people built around it. You get a written scope, acceptance criteria and a fixed price before any build begins.

You get: Scope + fixed quote

  2. 2Build

We build on the tools you already run

Zoho CRM, WhatsApp Cloud API, Zoho workflow rules and the rest of your stack — no rip-and-replace. Outputs are structured and checked against your own data, not trusted blindly.

You get: Working system on your stack

  3. 3Go-live

Your team approves, then it runs

The human step is tested with the people who will own it before anything goes out. Logging and alerts so problems surface early, documentation your team can read, and you own the code and the accounts.

You get: Approval gate, monitoring, full ownership

Yes. Zoho CRM has its own WhatsApp Business integration, and there are extensions on Zoho's marketplace, that let a rep send and receive WhatsApp messages from inside a record and use approved templates. If that is all your team needs, use it: it is the simplest option and we will tell you so. We build on top of it when inbound messages need to be read, qualified, routed and written into Zoho automatically, or when Zoho events should trigger WhatsApp messages under your own rules. Zoho's WhatsApp panel can stay as the place your reps reply.
