The problem

A name, a number and a form field. That's all the rep sees.

What the day actually looks like — described as an operator would, not as a brochure.

A new lead arrives in the CRM: a name, a phone number, an email and the service they ticked. It could be a procurement manager at a large group with a live project or a student comparing prices. On the screen they look identical, so they're worked in the order they arrived, or in whatever order the rep happens to scroll.

Reps fill the gap themselves. They google the company, check LinkedIn, look for an old deal, then decide whether to call now or later. That research is repeated for every lead, by every rep, and the result lives in their heads rather than the CRM.

Routing is just as rough. Leads are shared round-robin or claimed by whoever is fastest, so a strong Arabic-speaking prospect in Abu Dhabi can end up with a rep who covers Dubai retail. Existing customers come in through the website form and get treated as brand-new leads.

The result is that your best leads wait behind your weakest, and marketing can't tell which campaigns bring in the customers sales actually wants.

Why the obvious fixes fail

Manual lead grading by a coordinator

Someone reviewing every lead by hand works for a while, until volume spikes or they take leave. The criteria live in one person's head and drift over time, and leads queue up waiting to be graded.

The CRM's built-in points scoring

Adding points for opening emails and visiting pages measures activity, not fit. A student who reads every page outranks a buyer who sent one sharp enquiry, and nobody can explain why the score is what it is.

Asking reps to qualify everything

Making every rep research and grade their own leads repeats the same work across the team, applies different standards per person, and still leaves nothing structured in the CRM for marketing to learn from.

    Catch every inbound lead

    Leads from website forms, Meta and Google lead forms, portals and WhatsApp are collected in one place as they arrive, so enrichment and scoring work the same way whatever the source.

    Enrich with company context

    The system adds what the form didn't ask: company, sector, rough size, location, website and recent public signals, from public business sources and any enrichment provider you use. Each added field is labelled with its source.

    Match against your CRM

    It checks whether the company or person is already a customer, has an open deal or was a lead before. Existing customers go to their account owner, not into the new-lead queue, and duplicates are merged instead of multiplied.

    Score against your ideal customer

    Each lead is scored against criteria agreed with your sales team — fit, need, timing and behaviour — and gets a short written reason. Leads with little to go on are marked low-information, not low-quality.

    Route and alert

    Routing rules send each lead to the right rep by territory, product line, language and current workload. High-priority leads trigger an alert in Slack, Teams or WhatsApp so the assigned rep can call while the enquiry is fresh.

    Rep reviews and overrides

    The rep sees the enriched record, the score and the reason, and can re-score or re-assign it. Those changes are logged and reviewed with sales on a regular cadence to tune the rules, so the scoring follows how your team actually sells.
